Regulatory inspections feel unpredictable if you’ve never been through one. In practice, most follow a fairly consistent sequence.

Opening Conference

The inspector will typically explain the scope and purpose of the visit and ask for your facility’s food safety documentation. Having your HACCP plan, SSOPs, and recent monitoring records organized and accessible saves time and sets a professional tone.

Facility Walkthrough

Expect a walk of production, storage, and sanitation areas, often compared directly against your written procedures. Inspectors are looking for consistency between what’s documented and what’s actually happening on the floor.

Record Review

Monitoring logs, corrective action records, calibration records, and training records are common requests. Gaps or unexplained edits in these records draw more scrutiny than an occasional documented deviation with a clear corrective action.

Findings and Closing Conference

Findings are usually categorized by severity. Ask for clarification on anything unclear during the closing conference rather than after the inspector has left; it’s much easier to resolve questions in the room.

After the Inspection

Respond to findings within the requested timeframe, and treat the response as an opportunity to show a genuine corrective action, not just a paperwork fix.
